Booking Terms & Conditions

Grayling Guide – Fishing Trips and Expeditions

These Terms & Conditions apply to fishing trips, guided activities and expeditions organised by Grayling Guide in Finland, Sweden, Norway and other agreed destinations. By confirming a booking, the customer (“the Client”) agrees to these terms and to the details stated in the booking confirmation.

For trips that qualify as package travel, Finnish package travel legislation and mandatory consumer rights take precedence over these terms.

Registered Travel Organiser

Grayling Guide is a Finnish fishing guide and travel organiser, registered with the Finnish Competition and Consumer Authority (FCCA / KKV) with the required insolvency protection in place. Our qualifying packages are organised under the Finnish Act on Travel Service Combinations.

You can find registered Finnish travel organisers in the official Travel Guarantee Register.

1. Booking & Payment

  • A 20% deposit is required to confirm a booking.
  • The remaining 80% is payable on the final day of the trip, unless otherwise agreed in writing.
  • Prices and included services are confirmed before booking. Any additional services or costs must be agreed separately.

2. Cancellation by the Client

We understand that travel plans sometimes change.

  • 30 days or more before the trip: full refund of the deposit, with no cancellation or administration fees.
  • Less than 30 days before the trip: a cancellation charge of up to 20% of the total trip price may apply, depending on reasonable and justified costs.
  • No-show or cancellation after the trip has begun: charges may apply according to the services provided, costs incurred and applicable law.

Where Finnish package travel law applies, the Client may cancel at any time before departure. Any charge must comply with that law, and the Client may ask how it was calculated. No charge applies where the Client has a statutory right to cancel free of charge, including unavoidable and extraordinary circumstances at the destination or significant changes to the package.

Cancellations must be made in writing, preferably by email.

3. Cancellation or Changes by Grayling Guide

Fishing in the northern wilderness depends on weather, water levels, ice and other circumstances beyond our control. Grayling Guide may adjust locations, routes, schedules, activities or transport when reasonably necessary for safety or practical reasons, and will offer suitable alternatives whenever possible.

If a significant change affects the agreed trip, the Client will be informed of their options and rights. If Grayling Guide cancels a trip before departure, payments are refunded as required by law, without undue delay and no later than 14 days after termination of the contract.

4. Helicopter, Floatplane & Other Transportation

Some expeditions include helicopter, floatplane, boat, snowmobile or other specialist transport, which depends on weather, safety, availability and the transport operators’ decisions. If planned transport cannot operate, we discuss alternatives with the Client. Refunds, price reductions or other remedies depend on the services actually provided, the agreed package and applicable law. Any additional conditions for specific aircraft arrangements are explained before booking.

5. Safety & Assumption of Risk

Fishing and wilderness activities involve natural risks, such as slippery rocks, uneven terrain, cold water, changing weather, strong currents, boating hazards and ice conditions. By participating, the Client acknowledges these risks and agrees to act responsibly, follow the guide’s safety instructions, use the required safety equipment and report any immediate safety concerns.

Grayling Guide may restrict or stop an activity if continuing would create an unacceptable safety risk. Nothing in these terms excludes or limits liability that cannot legally be excluded.

6. Health & Physical Fitness

Clients should be reasonably prepared for the physical demands of their trip, which may include walking on uneven terrain, wading, wilderness camping, boating or long periods outdoors in changing weather. Please tell us before booking about any mobility limitations, accessibility needs or other circumstances that may require adjustments. If you’re unsure whether a trip suits you, contact us before booking.

7. Alcohol & Other Substances

Clients must not take part in fishing, boating, snowmobile travel or other activities while impaired in a way that endangers themselves or others. Illegal drug use is prohibited. The guide may refuse participation or take other necessary safety measures if a Client’s behaviour creates a serious risk; any financial consequences are determined by the circumstances and applicable law.

8. Fishing Licences & Regulations

Fishing licences are included when stated in the package description or booking confirmation. For other trips, Grayling Guide advises on the necessary licences and helps arrange them. All Clients must follow local fishing regulations, including seasonal restrictions, protected areas, catch limits and permitted methods.

9. Fishing Equipment & Personal Property

Fishing and camping equipment is provided when included in the agreed trip. Clients may bring their own equipment and are responsible for using and looking after it appropriately, and for taking reasonable care of their personal belongings. Grayling Guide is responsible for loss or damage where required by applicable law.

10. Travel Insurance

Grayling Guide maintains business liability insurance, which does not replace personal travel insurance. Clients are strongly advised to have travel insurance covering:

  • Medical treatment and accidents
  • Trip cancellation and interruption
  • Personal belongings and fishing equipment
  • The outdoor and wilderness activities included in the trip
  • Emergency assistance and evacuation where applicable

11. Wildlife, Weather & Fishing Results

All fishing takes place in natural waters with wild fish. We use our experience and local knowledge to choose promising locations and techniques, but catching fish cannot be guaranteed. Weather, water conditions, fish activity and regulations may affect the programme. Northern lights, wildlife sightings and other natural phenomena are never guaranteed.

12. Environmental Responsibility

We aim to minimise our impact on the waters and wilderness we visit. Clients are expected to respect wildlife, follow local access and camping rules, avoid unnecessary damage to the environment and carry out their rubbish. We practise responsible fish handling and selective fishing.

13. Problems During the Trip

If something does not meet the agreed arrangements, please tell your guide as soon as possible so we can resolve it. Grayling Guide addresses any deficiencies in accordance with applicable law, and Clients keep their statutory rights to remedies, including price reductions or compensation where applicable.

14. Applicable Law

These terms are governed by Finnish law, subject to mandatory consumer protection provisions. For travel packages, Finnish package travel legislation and applicable general terms for package travel take precedence where required. Nothing in these terms limits the Client’s statutory consumer rights.
